Covid-19 Coronavirus Risk Assessment

 

OFFICE

What are the hazards?        Spread of Covid-19 Coronavirus

Who might be harmed:       Staff, visitors to our premises, cleaners, anyone else who                                                comes into contact with us in relation to our business.

What is required?

Hand washing

Hand washing facilities are available to all with soap, water and antibacterial gel. Staff are reminded to wash their hands frequently throughout the day especially when: arriving at the office, before and after eating, after meeting with a client at distant in the board room, after using the loos and after receiving a delivery. Signage is placed throughout the office and loos. Drying of hands is to be done using the paper towels provided then disposed of within the WC you are using. Gel sanitiser is distributed throughout the office to be used before and after using that particular area. Sanitiser is placed: In the board room, kitchen, in each loo and next to steps near the kitchen area. A personal sanitiser has also been provided to each of our employees. Signage is placed in the lobby area for visitors requesting that they use the sanitiser provided on arrival and leaving the office. It is also important to be reminded that coughs and sneezes should also be caught in a tissue and disposed of in the personal bin provided. If you are unable to use a tissue the corner of your arm should be used. Staff are also reminded to avoid touching their face, eyes, nose or mouth with unclean hands.

Cleaning

Staff are provided with their own antibacterial wipes and requested to wipe down their work areas at the end of each day, including their phones, pcs and desks.

Antibacterial wipes are also placed throughout the office and signs are present requesting that areas are cleaned after use, particularly: the kitchen sides, machines – including printers etc, whiteboard pens that are shared, the board room table and chair after you/ and or a visitor has used the room. Staff have been requested to make their own drinks and wash up after themselves after using anything from the kitchen. Drinks will not be offered to visitors. Staff are requested to wipe down door/cupboard handles and taps at the end of each day.

Social distancing

Staff should remain at least 2 meters apart at all times. This is recommended by the Public Health Agency. Signage has been placed throughout the office as a reminder. Signage has also been added to the lobby area for visitors of the office to remind them to adhere to the social distancing rule. As the current seating plan allows for ample amount of space between staff, they are to use their current seating and only use their own phones and work spaces. Staff in the vulnerable, shielding category are to continue to work from their homes. Remote access, phone calls and emails will be used for their daily work and to keep in contact with them. Conference calls are to be requested first if a client requires a meeting. If that is not possible it is necessary to request that only one person visits the office at once, they use sanitiser on arrival and sit at the opposite end of the table within the board room. There is access to an ample outdoor area for regular breaks if necessary. The staff also have a number of windows located in the office that can be opened. In addition there is an air conditioning system that has recently been serviced. Anything touched (i.e. windows, a/c controllers should be cleaned using the wipes provided afterwards).

The use of PPE

It has been assessed whether the use of PPE is required in our workplace. As we can provide space, regular cleaning areas and supplies the use of face masks or gloves are not required.

Symptoms of Covid-19

If anyone becomes unwell with a new continuous cough or a high temperature in the workplace they will be sent home and be advised that they, along with their family are to follow the governments stay at home guidance. This is also the case if any of our staff become unwell at home, we have asked that they call us to notify us as soon as possible and self isolate with their family for a period of 14 days. If this happens to a member of our staffs family and they are able to work from home, they will be requested to do so. If not statutory sick pay will be applicable. Further information can be requested from the office manager on this matter.

If advised that a member of staff or public has developed Covid-19 and were recently on our premises (including where a member of staff has visited other work place premises such as domestic premises), the directors and office manager will contact the Public Health Authority to discuss the case, identify people who have been in contact with them and will take advice on any actions or precautions that should be taken.

Deliveries to the office

It is requested that only necessary office supplies are delivered to the office. A sign is located in the lobby for all deliveries to be left in there. After handling and putting anything delivered away hands should be washed. If a name is required for the delivery to be left social distancing should be followed at all times and any handles that the deliverer has touched should be cleaned with the wipes provided.

SITE VISITS

Who might be harmed:           Staff, home owners.

What is required?

Contact with the home owner

The homeowner will be sent a list of preparations and notes out lining what needs to be considered and adhered to prior to the consultation or survey taking place. A call will be made to them the day before the appointment to ensure that everyone in their household is well (If this is not the case the appointment will be rescheduled). The social distancing rule of 2 metre distancing will also be reiterated to them. It will have been made clear at the point of booking that we must speak to them the day before in order for the appointment to go ahead.

Meeting preparation

Blueprint have two surveys kits. Each one should only be used by the person that requires them (i.e. employee carrying out the surveys or consultations). Sanitiser and wipes have been added to the kits to be used when required.

Travel

Our staff will travel in their own car to and from the appointment. If 2 employees are attending the same meeting they may travel together but not next to each other. One person must sit in the back of the car. No more than two people may travel together at any one time.

At the property

On arrival at the home owners property if hand washing is available it should be carried out. If not the hand sanitiser provided should be used. Social distancing should be adhered to of 2 meters at all times. If it is possible when carrying out a consultation to take the meeting into a garden space then that should be done. If it is necessary for our staff to go into any tight spaces it is requested that we take a look and then speak with the home owner separately in a space that can cater for the 2 meter distancing rule. We will not be able to accept any drinks or snacks at our appointment. It is also important to be reminded that coughs and sneezes should also be caught in a tissue and disposed of in the personal bin provided. If you are unable to use a tissue the corner of your arm should be used. Staff are also reminded to avoid touching their face, eyes, nose or mouth with unclean hands. On leaving the appointment our staff should either wash their hands or use the hand sanitiser provided. If required any survey kit should be wiped down using the wipes provided.

Personal care

When appointments are booked throughout the whole day food and drink should be packed by the member of staff so that they are not relying on purchasing or on drinks at home owners properties (as this cannot be accepted as above). If you must purchase anything to eat or drink from a shop social distancing, hand washing before and after should be strictly adhered to. If it is necessary to use any WC facilities not at the office you must ensure to wash you hands afterwards thoroughly. Using sanitiser after is also beneficial.

We have added gloves to the bag as a precaution but believe that at present no other forms are required as social distancing on the appointments should not be an issue. We will continue to monitor whether the use of face masks is required going forward.
